Getting Started With Aimsio: What to Expect, Step by Step

“We like what Aimsio does. We’re just not sure our team can handle switching to it.”

That is one of the most honest things a business owner or an operations manager can say while evaluating new field software. You’re already running crews, chasing tickets, and keeping billing moving. Taking on a system rollout on top of all that sounds like a lot to ask of people who are already stretched.

So here is the number that matters most. Onboarding with Aimsio asks for roughly 2 to 4 hours per week from your project team. Not a full-time job. Not your entire staff. A small, focused group giving a few hours a week while Aimsio does the heavy configuration work.

This is not a rip-and-replace you face alone. It is a guided partnership with a clear plan and a team whose job is to get you to go-live. Here is exactly what that looks like, so there are no surprises.

Who’s on your side during onboarding?

You will not be figuring Aimsio out by yourself. From day one you get assigned a team:

  • Onboarding PM. Your main point of contact. Owns the plan, the weekly working sessions, and communication.
  • Onboarding Developer. Configures your account within Aimsio’s standard setup.
  • Integration Specialist. Leads your integrations, if those are part of your contract.
  • Customer Success Team. Takes over after go-live for ongoing support.

You also pick your own Project Champion, the person on your side who can make or escalate decisions quickly. That single choice does more for a smooth onboarding than almost anything else. When someone can say yes without three meetings, the whole project moves.

How much time will this actually take?

Plan for about 2 to 4 hours a week across your project team. Here is where those hours go:

  • Roughly an hour for a weekly working session with your PM to review progress, see demos, and make decisions.
  • A little time between sessions for quick calls or messages that clarify requirements and unblock things.
  • Some internal time to test your account, gather feedback from your staff, and get through the homework your PM sets each week.

Aimsio handles the build. Your team supplies the data, the direction, and the sign-off. And if a week gets tight because a job blows up, which it will, you tell your PM and you adjust. This is a real partnership, not a fixed conveyor belt you have to keep pace with.

What does the journey look like, step by step?

Onboarding runs in order. Each stage finishes before the next one starts, which keeps the project on track and the scope clean. There is no fixed number of days or weeks here, because that depends on how ready your data is, how complex your workflows are, and how quickly your team can turn things around. What is predictable is the path:

  1. Kickoff. You align on the plan, the team, and next steps.
  2. Requirements gathering. You complete a questionnaire, then walk through it with your PM so setup is built on facts, not assumptions.
  3. Master data prep. Your team pulls together the core data Aimsio runs on.
  4. Setup and configuration. Your PM and Developer set up your account to match what you confirmed. This is configuration within Aimsio’s standard layout, not a custom build from scratch.
  5. Demos. You see your configured billing, job costing, and permission workflows in action.
  6. User test. Your team tests everything and provides formal sign-off.
  7. Launch of your working account. Your live account is activated.
  8. Soft launch. You go live with a small, controlled group before full rollout.
  9. Account review. You review how it is running, provide feedback, and we’ll close out any gaps.
  10. Transition to Customer Success. We introduce you to the team that supports you long term.

None of these steps happen to you. You are in the room for all of them.

What will you be able to do by go-live?

The whole point of this process is that your team walks into go-live already comfortable. A few things make that happen.

You get a sandbox. It is a safe practice account where all the building and testing happens before anything goes live. Nothing you do there touches your real operation. And it stays yours after go-live, so you can train new hires and test changes down the road without any risk to your live account.

Your PM also demos your configured account and shares the session recordings. That means your project team can go back and rewatch any workflow while they test, instead of trying to remember what happened on a call two weeks ago.

Then there is the User Testing, and this is where real confidence gets built. Aimsio recommends picking a job your team has already completed and running it end to end in the new system. Get one or two people from each role, walk through the whole job together, and write down anything that does not fit. You find the gaps now, on a job you already know cold, instead of on a live one later. By the time you go live, the people who will use Aimsio every day have already used it on work they recognize.

What does Aimsio handle, and what do you own?

A smooth onboarding depends on both sides knowing their lane. This is not about offloading work onto you. It is about being clear so nothing falls through the cracks.

Aimsio handlesYou own
Configuring your forms: renaming, adding or hiding fields, setting what is requiredSupplying clean master data and keeping it current
Setting up the pre-built Aimsio workflows that fit your businessShowing up to the weekly working sessions
Configuring roles and permissions so each person sees what they needTesting the account and giving feedback on time
Demoing your configured account and sharing the recordingsDeciding how and when to roll Aimsio out to your broader team, and training them

One honest note. Aimsio configures within its standard layout. It does not build custom forms, workflows, or reports from scratch. During requirements gathering, your PM works with you to match Aimsio’s pre-built workflows to how you actually operate. For most teams that is a relief, not a limit. You are choosing from proven setups, not inventing one and hoping it holds up in the field.

What can you do to make onboarding go smoothly?

If you do one thing before setup begins, get your master data in order. Clean, complete master data is the single biggest factor in a smooth, on-track start.

That means organizing, early:

  • Your employees and their trades
  • Your equipment
  • Your billable items and price books
  • Your clients and vendor lists

None of this is glamorous. But it is the foundation everything else sits on. Good data going in is what lets your PM configure quickly and accurately. Messy or missing data is the most common thing that slows a project down. Get this ready before you are asked for it, and you have removed the biggest speed bump before you hit it.

Data is only part of it, though. What you do before your requirements call matters almost as much. Get your team in a room and walk through your whole process together. That way, nobody is guessing when your PM starts asking questions. Most scope changes happen later because a detail got missed early. An hour of alignment up front prevents that.

While you are at it, send a few real documents ahead of the call. One past job works best: the timesheets, the tickets tied to them, the POs, and the estimate. That lets your PM run demos on work your team recognizes instead of dummy data, so the walkthroughs land faster. If job costing is part of your setup, sharing a sense of how you structure your work breakdown (WBS) helps too.

Companies like Swift Underground, an underground utility contractor, worked closely with a dedicated Aimsio onboarding team to shape the platform around how their field crews and back office actually operate. The result was a system their people would use, not one they would fight.

See what onboarding would look like for your operation

Every field operation is a little different. The best way to know how onboarding would go for yours is to talk it through with someone who has done it before. No pressure and no commitment. Just a straight conversation about your team, your data, and what the path would actually look like.

Frequently Asked Questions

How much time will my team need?

Plan for roughly 2 to 4 hours a week across your project team during onboarding. That covers a weekly working session, a bit of time between sessions, and internal testing. Aimsio does the configuration. Your team supplies the data, the direction, and the sign-off.

What if my team isn't technical?

That is the norm, not the exception. Aimsio was built for field crews, not software engineers, and your Onboarding PM guides you through every step. Your team's real job is to know your operation and confirm that Aimsio matches it. You do not need any technical background to do that.

What happens after go-live?

You transition to a Customer Success Team for ongoing support, and you keep a named point of contact at Aimsio. Someone specific is always in your corner. Your sandbox account also stays active, so you can train new staff and test changes safely.

How do we prepare?

Get your master data organized early: employees, equipment, billable items and price books, and your client and vendor lists. Clean data up front is the single biggest thing you can do to keep onboarding smooth and on track.
